This policy explains how this application handles information and how to contact us about privacy.
Information we process
Be vague Sometimes stores the meeting titles, types, dates, counterpart names and roles, context, goals, tags, anticipated questions, selected phrase identifiers, answer drafts, conversation outcomes, and follow-up tasks that you enter. These records are saved locally on your device and synchronized to our PostgreSQL database hosted on Railway. The app automatically obtains a random installation secret, stores it in the device Keychain, and sends it over HTTPS to authorize requests. The server stores only a SHA256 hash of that secret. Your local profile name, interface language, and notification preference remain on the device. We do not require an account, email address, password, or social sign-in. Hosting infrastructure receives network requests, including IP addresses and request metadata. Short-lived in-memory IP counters are used to limit installation creation; application error logs contain request identifiers and technical error codes, not your notes or secret.
How we use information
We process your records to save and retrieve meeting preparation, support offline editing and synchronization, rehearse answers, record outcomes, and maintain your archive. The server computes communication patterns from completed meetings belonging to your installation, with results shown after at least three completed meetings. These are descriptive counts, not an assessment of your ability. Optional local notifications remind you about follow-up tasks. The built-in phrase library is included in the app and does not send your notes to an AI service. Request metadata and rate limits help operate and protect the service.
Service providers and sharing
Railway provides hosting and PostgreSQL infrastructure and processes stored records and network traffic to operate the service. The app uses Apple's iOS Keychain and local notification facilities on your device. The privacy page has no advertising, analytics scripts, or required cookies. We do not integrate advertising networks, external analytics, email delivery, or third-party AI services, and do not sell your meeting records. Infrastructure providers may retain operational or security logs under their own practices; we do not claim a particular log retention period. Information may also be disclosed when required by applicable law.
Data retention
Your meeting records remain on the device and server until you delete them. There is no automatic expiry period for saved meetings. Pending offline changes are retained locally until synchronization succeeds. The local notebook file is excluded from device backups by the app. Local profile preferences may be included in operating-system backups according to your device settings. The installation secret is marked device-only in Keychain. Hosting infrastructure may maintain backups or operational logs; application deletion does not selectively erase provider-managed backup copies, and we do not promise a backup expiry schedule that has not been established.
Deleting your information
You can delete individual meetings or use Delete all my data in Settings. Deleting all data removes the local notebook and profile name, clears scheduled and delivered reminders, and requests deletion of the installation and its server records. If offline, the app retains the secret and a deletion request so it can complete server deletion when connected; new editing is paused until that request completes. After server deletion succeeds, the old secret is removed and a new installation secret is issued. Uninstalling alone does not request server deletion. There is no account-based recovery or transfer to another device. If the installation secret is lost, we cannot promise to identify or restore its records. Provider-managed backups and infrastructure logs are subject to the limitations described under retention.
Permissions and your choices
The app asks for notification permission only when you enable follow-up reminders. Task titles may appear in notifications and on the lock screen according to your iOS settings. You can turn reminders off in the app or withdraw notification permission in iOS Settings; your saved tasks remain available. The app does not request contacts, location, microphone, camera, or photo-library access, and does not embed a geographic map. Internet access supports synchronization without an additional iOS permission prompt.
Your privacy rights
You can view, correct, and delete your records within the app. Depending on your jurisdiction, you may have rights to access, correction, deletion, restriction, objection, or portability of personal information and the right to contact a competent privacy authority. For privacy questions or requests, contact Auberon1Fitzalan@icloud.com. This address is a public privacy contact and is not an app login or an email-delivery feature. We may need enough information to verify a request without exposing another installation's records; there is no account directory that links your email to an installation.
Security
The app uses HTTPS for its deployed API and an installation-scoped bearer secret held in Keychain. The backend hashes secrets and authorizes every private record operation against the installation. PostgreSQL ownership constraints and scoped queries separate installations. Local notebook writes are atomic and use iOS file protection after the first device unlock. The backend validates input, limits request sizes and rates, and avoids recording private note bodies and secrets in application logs. These measures reduce risk but do not guarantee absolute security. Anyone able to obtain the installation secret could access its records, so protect your device and do not share that secret.
Children’s privacy
This app is intended for professionals preparing workplace conversations and is not directed to children. We do not knowingly solicit children's personal information. If you believe a child has provided personal information through the service, contact Auberon1Fitzalan@icloud.com so the concern can be assessed using the information available.
Changes to this policy
We may update this policy when the app's processing or service practices change. The current policy is available from Settings and at this public privacy page, with its effective date shown above. Material changes will be reflected in the policy and, where appropriate, communicated through an app update. Please review the policy periodically.
